The Need to Replace the Spreadsheet Based Process
Pacific Brands had previously used spreadsheets to manage their annual salary and bonus reviews. This required the production of numerous spreadsheets that were distributed to managers to complete reviews for their team members. The spreadsheets were then returned to HR for consolidation and sign off. Letters were created as a mail merge in Word.

The fragmentation and duplication of data involved in this process required significant manual intervention. Furthermore, the time spent checking and auditing figures and manually producing letters slowed down the review process

Seeking an alternative, Pacific Brands underwent a tender process evaluating a number of solutions before selecting R.Review. The Company recognised that R.Review would provide the best solution to address their issues and improve their execution of the process.

The Selection Process
Pacific Brands undertook research on various vendors of HRIS systems, payroll systems and specific remuneration review systems. After short listing down to three vendors the Company had all three present proposals to Pacific Brands HR and IT management. Following live demonstrations, reference checking, and features and benefits analysis of the three short listed vendors, Pacific Brands selected R.Review.

The Solution
Pacific Brands implemented R.Review in 2008 to streamline their review process across the organisation. The system was configured to suit the organisation’s changing remuneration requirements providing Pacific Brands managers with secure access via a web browser to all the information required to complete salary reviews for their teams.

In 2010, R.Review was further extended to manage a two-phase process encompassing separate salary review and bonus review stages.

The Experience
R.Review significantly streamlined the remuneration review process for Pacific Brands. Managers found R.Review’s clean interface intuitive to use, easy to navigate and simple to enter their recommendations. During the review, system messages and alerts guided them through the process and kept recommendations within Company guidelines. Real time reporting provided information on the status of reviews, recommended spend verses budget and recommendations outside of guidelines. Managers were updated on the status of their team’s reviews via emails which advised them of any change or requirements for them to act upon a recommendation.

At the completion of the review, salary letters were generated directly out of R.Review. The appropriate letter was automatically generated based on pre-defined rules and electronic signatures were included as required.

Pacific Brands had very aggressive timelines and objectives for their 2010 review and these would most likely not have been achieved without R.Review.

The senior management at Pacific Brands were extremely pleased with how well the review process was executed, and in particular the accuracy, flexibility and speed with which Remesys were able to respond to requests

Pacific Brands were impressed with the tool itself and with the service and support provided by Remesys.

The Key to Success
Remesys worked with Pacific Brands to identify their requirements. Key milestones were identified and timelines were always met if not exceeded. During user acceptance testing (UAT), Pacific Brands identified further refinements and due to the flexible nature of R.Review these changes were easily managed. Throughout the process Remesys worked closely with Pacific Brands providing expert advice. Remesys’ local team of developers and consultants were able to provide impressive levels of service and support.
